A GST credit note is a tax document, not just a goodwill gesture. It lets you reverse output tax you earlier reported, but only if it meets the GST format and filing requirements.
1. Mandatory Fields on a GST Credit Note
- Credit note number and date of issue.
- Original invoice number and date.
- Supplier and recipient names, addresses, and GSTINs.
- Reason for the credit (return, discount, error, cancellation).
- Itemized description with HSN and quantities.
- Reversed taxable value and the CGST/SGST or IGST amounts.
- Total credit value.
2. Matching the Tax to the Original Invoice
Reverse the tax exactly as it was charged. Intra-state sales reversed as CGST + SGST; inter-state sales reversed as IGST. A mismatch here triggers a GSTR-1/2B discrepancy.
3. Filing in GSTR-1
Report credit notes in GSTR-1 for the period in which they are issued, and reference the original invoice. In several cases you must also raise the credit note within the time limits prescribed by the GST law to claim the tax reversal.
4. Coordinate With the Recipient
Share the credit note immediately. Your client must reconcile it against their purchase register and accept it on the portal for both sides to stay accurate.
